Comprehensive App Support
Ensure complete protection for your Microsoft 365 data with broad application support, including:
- Exchange Online backup for user, group or shared mailboxes and in-place archives.
- OneDrive for Business backup for individual files and folders.
- SharePoint Online backup for personal sites, document libraries, lists and individual files with permissions and metadata preserved on restore.
- Microsoft Teams backup for private, public and organization-wide teams, with original settings and permissions preserved.
Efficient Backups with Flexible Retention
Protect Microsoft 365 data with incremental backups using NAKIVO’s proprietary change-tracking. This technology captures only modified data, reducing backup size and time. Retention policies are fully customizable, with support for up to 4,000 recovery points across various storage options. Configure daily, weekly, monthly or yearly rotation schedules to meet GDPR data retention rules, HIPAA record-keeping requirements and internal compliance policies, with no data gaps and full audit-ready history.
Infrastructure Flexibility
Choose cloud, on-premises or hybrid Microsoft 365 backup storage based on your cost, control and compliance needs. Supported destinations include local folders, leading cloud platforms like Amazon S3, Wasabi, other S3-compatible storage, Azure Blob, Amazon EC2, SMB/NFS file shares or deduplication appliances. This flexibility helps you meet the 3-2-1 backup rule and avoid vendor lock-in.
Immutability and Air-Gapping
Securely transfer encrypted backups to the cloud, WORM-compatible NEC HYDRAstor systems and local Linux-based folders to apply immutability and ensure that your backups are safe from cybersecurity threats. For tamper-proof Microsoft 365 backup copies that anchor your disaster recovery plan, send encrypted copies to air-gapped tape media where cybercriminals can’t reach them.
Layered Security
Configure end-to-end backup encryption at source, in transit and in the backup repository to prevent unauthorized access and data breaches. NAKIVO supports MFA-enabled Microsoft 365 accounts as well as enables you to set two-factor authentication and role-based access control to the backup solution.
Advanced Compliance Search
The centralized view of your backups across all repositories and advanced search capabilities make it easy to locate and retrieve specific Microsoft 365 data for GDPR subject access requests, HIPAA audits, legal holds and e-discovery. Use the search box or navigation panel to easily search and find messages, calendar events, contact items, SharePoint list content, documents and more.
Flexible Granular Restore
Restore data from your Microsoft 365 backups without rolling back an entire user account. Choose a recovery point, browse the contents, select the specific items you need and restore them to the original location or a different mailbox, site or account in a few clicks.
Hybrid Environments Support
Manage Microsoft 365 backup alongside your other workloads in a single console. NAKIVO Backup & Replication integrates protection for cloud-based Office 365 services, hybrid and multi-cloud environments, VMware, Hyper-V, Proxmox, Nutanix AHV and physical servers, so you don’t need a separate tool for each platform.
Simple Scheduling
Schedule regular Microsoft 365 backups to run automatically when you choose, whether that’s hourly, daily, weekly or on a custom calendar. Chain jobs together for end-to-end automation and use the Calendar dashboard to optimize backup windows, avoid job overlaps and prevent network congestion, with a clear overview of all past, current and future data protection activities.
Enterprise-Grade Scalability
Connect any backup storage and enable the federated repository for efficient resource distribution. Manage a single storage pool with multiple backup repositories, add or remove repositories on demand and integrate backup operations into your existing tools and scripts through the HTTP API.

FAQ
Should you back up Microsoft 365 data?
How do you back up Microsoft 365 data?
Can I work with Microsoft 365 applications during a running backup job?
How can I ensure that my Microsoft 365 backups are secure?
The NAKIVO software enables the creation of tamper-proof Microsoft 365 backups by supporting MFA-enabled accounts and offering a wide range of security features.
- Encrypt backups before sending them over the network to ensure that neither a storage provider nor a cybercriminal can read your data. In addition to encryption, use two-factor authentication and role-based access control to prevent unauthorized access to Microsoft 365 backups.
- Store backups and backup copies across multiple locations onsite, offsite and in the cloud. This way, you can ensure that even when one storage platform or device is corrupted or damaged, you can still retrieve Microsoft 365 data from others.
- Make Microsoft 365 backups immutable by choosing cloud, NEC HYDRAstor or local Linux-based repositories.
- Consider storing at least one backup copy on air-gapped tape to guarantee that no malicious actor can access your Microsoft 365 data via the network.
What counts as a user when purchasing subscription licenses?
The following counts as a Microsoft 365 user in NAKIVO Backup & Replication:
- 1 mailbox for Exchange Online
- 1 user for OneDrive for Business
- 1 personal site or 1 user that has access to a SharePoint Online site with “Edit” or “Full Control” permissions
- 1 user with access to Microsoft Teams
With NAKIVO Backup & Replication, each Microsoft 365 user is counted only once across all services – Microsoft Teams, Exchange Online, SharePoint Online and OneDrive for Business. Shared and group mailboxes don’t require a license.
Note that a minimum of 10 user licenses is required per order. Check out the pricing page for more details.
Where can I store my Microsoft 365 backups?
Should I back up Office 365 to the cloud or on-premises?
Both options have trade-offs and the right choice depends on your priorities.
- On-premises backup gives you full physical control over your data, faster local restores and predictable storage costs, but requires hardware investment and maintenance.
- Cloud backup removes the hardware burden, scales on demand and supports geographic redundancy, but ongoing costs grow with your data volume and restores depend on bandwidth.
Most organizations use a hybrid approach: a primary backup on-premises for fast recovery and a secondary copy in the cloud or on tape for disaster recovery and the 3-2-1 rule. NAKIVO supports all three models with the same license, so you can mix and match without changing tools.
