Yes. According to the Microsoft 365 Shared Responsibility Model, you are responsible for keeping your data safe. Microsoft is only responsible for the availability of its applications and infrastructure. In addition, the Microsoft 365 (Office 365) built-in security features offer limited data protection and primarily focus on compliance and privacy. You need to implement a dedicated Microsoft 365 backup solution and create a robust data protection strategy to ensure recovery and minimize downtime.

How do you back up Microsoft 365 data?

To efficiently back up your data, you need a third-party Microsoft 365 data backup tool that provides powerful features to streamline data protection workflows. With the NAKIVO solution, you can perform fast incremental backups using Microsoft’s native change tracking technology and store backup data across a wide range of storage platforms onsite, offsite and in the cloud. When it’s time to recover, you can have numerous recovery points to restore backup files to the original or a different location. The centralized dashboard allows you to easily find and restore individual items to achieve tight recovery objectives and meet compliance requirements.

Can I work with Microsoft 365 applications during a running backup job?

Yes. As a user, you have complete access to Teams, Exchange Online, OneDrive for Business and SharePoint Online while a data backup job is running. NAKIVO Backup & Replication keeps the backup process invisible to prevent any disruptions in your production environment. This allows the backup server to perform scheduled backups in the background without affecting application availability or performance.

How can I ensure that my Microsoft 365 backups are secure?

The NAKIVO software enables the creation of tamper-proof Microsoft 365 backups by supporting MFA-enabled accounts and offering a wide range of security features.

  • Encrypt backups before sending them over the network to ensure that neither a storage provider nor a cybercriminal can read your data. In addition to encryption, use two-factor authentication and role-based access control to prevent unauthorized access to Microsoft 365 backups.
  • Store backups and backup copies across multiple locations onsite, offsite and in the cloud. This way, you can ensure that even when one storage platform or device is corrupted or damaged, you can still retrieve Microsoft 365 data from others.
  • Make Microsoft 365 backups immutable by choosing cloud, NEC HYDRAstor or local Linux-based repositories.
  • Consider storing at least one backup copy on air-gapped tape to guarantee that no malicious actor can access your Microsoft 365 data via the network.

What counts as a user when purchasing subscription licenses?

The following counts as a Microsoft 365 user in NAKIVO Backup & Replication:

  • 1 mailbox for Exchange Online
  • 1 user for OneDrive for Business
  • 1 personal site or 1 user that has access to a SharePoint Online site with “Edit” or “Full Control” permissions
  • 1 user with access to Microsoft Teams

With NAKIVO Backup & Replication, each Microsoft 365 user is counted only once across all services – Microsoft Teams, Exchange Online, SharePoint Online and OneDrive for Business. Shared and group mailboxes don’t require a license.

Where can I store my Microsoft 365 backups?

With NAKIVO, you can avoid vendor lock-in and choose storage based on your business needs. Store Microsoft 365 data backups on-premises in a local repository where you have full control over your data. You can also send Microsoft 365 backups and backup copies to cloud object storage, such as Amazon S3, Wasabi and other S3-compatible platforms, to Amazon EC2, SMB/NFS file shares and deduplication appliances. Additionally, you can send backup copies to tape for long-term archiving.

Can I deliver Backup for Microsoft 365 as a service?

Yes. Managed service providers (MSPs) can use NAKIVO Backup & Replication to deliver Backup for Microsoft 365 as a service. All the solution’s advanced data protection features are available to MSPs in the MSP Enterprise Essentials, MSP Enterprise and MSP Enterprise Plus editions. You can provide your MSP clients with backup for their Microsoft Teams, Exchange Online, OneDrive for Business and SharePoint Online data.
